4. Children and Family Participation

Food Escapes is designed to be suitable for families. Children may participate in games only with the consent and supervision of a parent or legal guardian. All bookings and accounts must be created by an adult aged 18 or over. We do not knowingly collect personal data directly from children without parental consent.

We process personal data under the UK GDPR on the following legal bases:

6. WhatsApp Game Bot

We operate a WhatsApp Business account to deliver game instructions and communications.
• Users initiate contact by messaging us first
• We do not send WhatsApp messages without prior interaction
• Messages and photos sent to us are stored securely
• We do not track live location data
• No artificial intelligence is currently used to generate or interpret messages
• Message content may be processed by our systems hosted on Google Cloud

We may send:
• Transactional messages related to gameplay
• Post-game review requests
• Marketing offers, where consent has been provided

You may opt out of WhatsApp marketing at any time.

7. E-commerce and Payments

Our website is hosted on Shopify. Payments are processed by Shopify and its payment partners. We do not store payment card details.

Refund policy summary:
• Full refund within 30 days of purchase if not yet booked
• Once booked, no refunds but free rescheduling up to 5pm the day before the booking
• Purchases via third-party platforms are subject to their refund policies, but our rescheduling policy still applies

8. Gifts and Third-Party Recipients

Customers may purchase Food Escapes as gifts for others. We may process recipient names and contact details to deliver vouchers and instructions. Marketing communications will only be sent to recipients with appropriate consent.

9. Restaurants and Partners

We share limited booking information with participating restaurants:
• First and last name
• Party size
• Dietary and allergen information
• Approximate arrival time

Restaurants act independently in handling this information. We may also collect reviews and feedback that can be associated with an identifiable customer.

10. Marketing, Analytics and Cookies

We use:
• Klaviyo for email and SMS communications
• Advertising platforms including Google, Meta, TikTok, AppLovin, Pinterest, X and Reddit
• Analytics tools including Google Analytics and Google Tag Manager

We use cookies via Shopify’s cookie banner. Non-essential cookies are used only with consent.

11. Customer Support and Communications

Customer support is provided primarily via email and WhatsApp. Calls may be recorded for training and quality purposes where applicable.

12. Data Retention

We retain personal data:
• Financial and transaction records for up to 6 years
• Account and booking data as long as required for business purposes
• Marketing data until you unsubscribe
• Game and communication data for dispute handling and service improvement

Data is securely deleted or anonymised when no longer required.

We use appropriate technical and organisational measures including access controls, encryption and secure cloud hosting to protect personal data.

We operate in the UK only. Some service providers may process data outside the UK. Where this occurs, appropriate safeguards are used in accordance with UK GDPR.
